ADMINISTRATIVE AFFAIRS
The Administrative Affairs Unit carries out its operations within the scope of the provisions of the OSB Law No. 4562 and the Regulation on the Implementation of Organized Industrial Zones.
Within the scope of the Occupational Health and Safety Law No. 6331, it coordinates OHS services in terms of taking precautions against possible negativities in the physical structure of the institution, personnel work and operation, and ensures that they meticulously comply with the rules of occupational safety and the principles in the accident prevention instructions. It also monitors and controls the in-house workplace physician processes, the emergency response action plan and workflow diagrams made with the trainings provided by the OSGB.
It ensures that the organization, order, cleaning, guest hosting, catering service and consumption processes of the OSB Building and affiliated facilities, the determination and elimination of maintenance, repair, repair and renovation areas are monitored and transferred to the relevant units and/or the supply-service procurement are organized. At the same time, it ensures that all machinery and equipment in its unit are used in accordance with the rules, maintained and kept in working order.
It ensures that in-house landscaping, maintenance, repair, landscaping, plant care, scenting, spraying and disinfection services are monitored and reported.
It ensures that the spare keys of the OSB Building and affiliated facilities for which it is responsible are kept in a single place and safely so that they can be accessed immediately in case of emergency.
It ensures that the purchasing process of consumables (kitchen, office, cleaning, catering, building inventory, etc.) for the activities for which it is responsible are managed and stored.
It manages the processes of renting the social areas of the OSB Building and affiliated facilities to participants and other companies, ensuring their follow-up with the business, carrying out agreements and legal processes, invoicing, personnel assignment, organization. It ensures that the maintenance and usage standards for the organization are followed, the compliance with public order in terms of content and subject is investigated and the documents and program details are archived after the results are finalized.
It ensures that social activities, organizations, meetings, seminars, conferences, press releases, training and events are organized for internal and external demands and all kinds of consumable and product/service purchasing processes are carried out.
It ensures that the tools, devices and all kinds of movable and immovable materials in the OSB Building and affiliated facilities and common use areas are managed in coordination with the relevant unit managers.
It manages the processes of the library and rest areas, intervenes in publications and content that are against public order by keeping the inventory list, ensures the inventory entry-exit, arrangement and order.
It ensures the planning, supply and follow-up of the personnel catering and catering services processes of the institution and affiliated institutions. Ensures that transported and on-site food service providers comply with the law, and that food distribution and preparation are carried out in accordance with the institutional structure, personnel health, and calorie rates.
Also organizes the kitchen consumables of the OSB Building and affiliated facilities with the supplier company. Ensures that the kitchen and support staff comply with the standards (work clothes, work plan, work areas) and follow-up.
Within the scope of the Highway Traffic Law No. 2918, it carries out the processes of the management and administration of the institution's vehicles and drivers, the rental, maintenance, repair and assignment documents of the vehicles, insurance, inspection and compliance with all kinds of laws and regulations.
It monitors and reports the mobile tracking systems, subscription processes, mobile application, vehicle assignment entry and exit, user definitions and card systems, fuel usage statistics of the institution's vehicles.
Within the scope of the Highway Transportation Law, it ensures the organization of personnel service, determination and follow-up of routes, agreements with the service provider company, implementation of corporate standards, and monitoring of documents and standards of vehicles and users within the framework of laws and regulations.
It ensures the management and administration of building information officer standards and switchboard processes, personnel, visitor entry and exit and guest hosting processes, and monitoring of building security processes.
It carries out all kinds of purchasing and contract activities of service providers related to its unit in consultation with the Legal Advisor and Regional Manager
Within the scope of the Law on the Protection of Personal Data No. 6698, it ensures the communication and coordination of the assigned contact persons of all regional participants, and ensures that all correspondence, information and announcements are published to the personnel and participants with the approval of the Regional Manager and the Chairman of the Board of Directors, and that the OSB call center system is established and operated. It ensures that the relevant workflow and information are carried out, the Document Registration unit processes are carried out, provincial / district local administrative authority correspondence is coordinated with public institutions and organizations, and the duties and responsibilities are fulfilled. Public benefit projects, Emergency and Disaster programs, Civil society and social activity areas are included in the scope of responsibility in all kinds of requests and participation works.
It ensures the execution of all kinds of national, international, social media channels, bulletin and corporate identity activities (signboard, corporate clothing, logo or general consumable products), the operation and compliance control and follow-up of publishing, advertising and billboard rental services within the OSB.
